How-tos & Workflows

Calendar-based planning

See your tasks next to your meetings so you plan against your real day.

4 min read

Juno can use your calendar as the shape of your day. Meetings stay visible, tasks can appear as projected blocks, and you can turn a projection into a real time block when you want to commit to it.

Connect a calendar

  1. Open Settings -> Calendars.
  2. Click Connect next to Google or Outlook.
  3. Authorize Juno (read-only by default; some workflows need read/write).
  4. Pick which calendars to display.

You can connect multiple accounts (work + personal). For visibility, defaults, reminders, and write access, see Calendar settings.

What you'll see

  • A merged view of your calendar events alongside your daily task list.
  • Task projections: soft calendar blocks that show where today's estimated tasks can fit around existing events.
  • Schedule hours, so you can see the working ranges Juno is using.
  • Private Juno Calendar blocks for timeboxed tasks and personal planning.
  • Actual-time blocks that show when you really worked on a task.
  • Overflow warnings when a task only partly fits, or does not fit today.

Task projections

Task projections are not calendar events yet. They are a preview of how your plan fits the day.

  • Tasks with estimates can appear as ghost blocks on the calendar.
  • Existing meetings and busy events block out time.
  • Running tasks are anchored to the time you started them.
  • Larger tasks can split around meetings when task splitting is enabled.
  • Projections respect buffers, custom schedules, and context or tag hours.

Use the calendar options menu to show or hide task projections and schedule hours.

Turn a projection into a time block

Use Add to Calendar from a task, or press X when the task is selected.

When projections are enabled, Juno uses the projected placement to schedule the task. That means the real block should line up with the slot you already saw on the calendar. If a task is split into multiple projection slices, Juno can create matching time blocks.

If there is no room in the task's schedule for that day, Juno shows a No time available prompt. From there you can:

  • Defer the task to the next day with enough working hours.
  • Schedule anyway into any free slot.
  • Cancel and adjust the task or schedule.

Custom schedules

Open Settings -> Contexts & Schedules to define when work can happen. The full setup guide is Schedules and working hours.

  • The Default schedule controls the normal start and end of your workday.
  • Context and tag schedules override the default for that type of work.
  • Each weekday can have one or more time ranges, such as a morning and afternoon block.
  • Empty days are treated as closed for that context or tag.

Juno uses these schedules for task projections, Add to Calendar, overflow warnings, and realistic workload calculations.

Juno Calendar

Juno Calendar is a private built-in calendar for task blocks and personal planning. It is useful when you want Juno to timebox your work without writing every block to Google or Outlook.

In Settings -> Calendars, covered in Calendar settings, you can choose separate defaults for:

  • Task time blocks created from tasks.
  • Manual events created by dragging on the calendar.

Actual time blocks

When you track time on a task, Juno can show that work as actual-time blocks on the calendar. These blocks help you compare planned vs actual time with what happened. You can drag or resize an actual-time block to correct a session while keeping it anchored to the day it happened.

Plan against your calendar

In the morning ritual, the planning step shows your meetings inline so you don't overcommit. On the calendar, projections and overflow warnings make the same problem visible: if today already has 6 hours of meetings, 6 more hours of estimated tasks will not all fit.

Common issues

  • Events not appearing -> re-authorize in Settings -> Calendars (token may have expired).
  • Wrong timezone -> set your timezone in Settings -> General, then reload.
  • Too noisy -> hide low-signal calendars (birthdays, holidays).
  • A task does not appear as a projection -> check that it has a time estimate, is scheduled for the selected day, and is not already timeboxed.
  • A task does not fit -> reduce its scope, defer it, or move other work out of today. Keep the estimate realistic and only extend the schedule if you have more time available.
